Job Summary

The Development Project and Administrative Coordinator will lead projects and provide high-level coordination to partner in the identification, engagement, solicitation, and stewardship of major and principal gift prospects for the College of Pharmacy in partnership with the Development and Alumni Engagement Team.

This is a 12-month full-time temporary position that will report to the Executive Director of Development and Alumni Engagement. The individual in this role is expected to work in the office at least three days per week.

What You'll Do

Job Functions

Project Management & Administrative Coordination - 40%

  • Support the team with special projects, events, and fundraising efforts related to the Colleges 150th Anniversary, the grand opening of the new building, and the Look to Michigan Campaign.
  • Work with team members to plan and execute small and large-scale donor engagement meetings/events both on and off-campus; provide support such as pulling lists from various databases, generating invitation lists, mailings, menu planning, venue coordination, budgeting, donor outreach, event follow up, recording event information in the donor database (DART).
  • Assist Stewardship Officer in maintaining and improving consistent stewardship, gift processing, and acknowledgment letter process. This includes but is not limited to preparing and mailing acknowledgment letters, providing support for annual endowment and scholarship reports, including assembly of packet materials, printing, and mailing.
  • Collaborate with team members to create and execute meaningful stewardship for gifts and other milestones (such as important birthdays, anniversaries, giving milestones, etc.).
  • Assist with solicitation campaigns, including online giving campaigns.   
  • Liaise with the College of Pharmacy Marketing and Communications Team on joint projects such as the alumni newsletter, development of proposals and collateral for donors.
  • Assist with developing and implementing development education for College of Pharmacy faculty, staff, and students 
  • Liaise with the Office of University Development (OUD) on all aspects of football season coordination; this includes tailgate invitations, securing parking passes, briefings, ticket requests, and any other football-related matters.
  • Respond to inquiries from within the department, from the campus community, and external constituencies; direct matters to appropriate individuals for action and follow up as needed.
  • Reconcile expenses for members of the team.

Data Management, Prospect Research & Reporting - 30%

  • Develop and implement processes that support pipeline development; this includes collecting, tracking, and documenting information about students, alumni, donors, and prospective donors.
  • Ensure development activities are properly documented in DART; this includes batch updates for various development functions such as mailings, event attendance, stewardship reporting, contact information updates, as well as uploading files and important documents. 
  • Aid in the overall management of donor portfolios; add contact reports, plan steps, asks, and opportunities to DART in a timely and consistent manner.
  • Assist the team with donor research needs; this includes the development and utilization of personalized prospect lists to identify major gift prospects.
  • Compile reports and analyze data from various sources and databases to assist with team needs and various projects; examples include campaign reports, gift reports, portfolios, alumni lists, etc.  
  • Generate mailing lists as well as initiate and track marketing efforts needed for email and print communications.
  • Prepare donor and event briefings for the Dean, Faculty, Staff, and others as needed.

Administrative Support for the Executive Director - 25%

  • Provide comprehensive support for the Executive Director, including managing calendars and scheduling internal and external meetings, assist in the preparation for meetings by identifying necessary information and materials, conducting research, and ensuring all resources are organized in advance. 
  • Support the Executive Director in the planning, execution, and follow up of donor meetings, both on and off campus. Coordinate logistics, organize briefing materials, create itineraries, enter data into DART, and aid in follow-up activities. 
  • Assist the Executive Director with all aspects of donor engagement, including drafting messages, scheduling meetings and reservations, and developing proposals and stewardship materials. 
  • Act on behalf of the Executive Director to handle inquiries of a highly sensitive, confidential nature including inquiries from the campus community and external constituents.  
  • Perform additional administrative duties such as travel coordination, expense management, running and scheduling automated reports, phone calls, mailings, and other requests.

Collaboration with Colleagues - 5%

  • Provide cross-trained support for the Pharmacy Development and Alumni Engagement team as needed. Collaborate and assist teammates with special projects and other responsibilities.
  • Collaborate and build strong working relationships with development and non-development colleagues throughout the College and University.
  • Foster and build a culture of philanthropy by engaging College of Pharmacy students, faculty, and staff in fundraising and donor engagement opportunities. 

Required Qualifications*

  • Bachelors degree or equivalent education and experience
  • At least one year of administrative and/or project management experience
  • Excellent written, oral, and interpersonal communication skills
  • Proven ability to work independently or as part of a team with diverse constituents in a fast-paced, customer service environment
  • Strong organizational skills to manage multiple priorities and deadlines, demonstrating mature judgment and flexibility
  • Commitment to customer service and discretion with sensitive information
  • Proficient in Google Workspace and Microsoft Office Suite

Desired Qualifications*

  • A track record of successful problem solving with strong analytical skills and follow-through
  • A high degree of initiative, resourcefulness, and the ability to anticipate needs. 
  • Active interest and curiosity in higher education and development work 
  • Familiarity with alumni/donor database systems and the ability to generate comprehensive reports; experience with U-M programs like DART, Business Objects, M-Pathways, Tableau, and Emburse Enterprise is preferred
  • Prior experience working in fundraising
