Facilities Specialist

The Clerk’s Office for the Western District of Virginia seeks a customer service oriented professional to perform and coordinate administrative, technical, and professional work related to day-to-day building management issues, space planning, and space and facilities projects, including ensuring compliance with the appropriate guidelines, policies, and approved internal controls and conducting inventories. The incumbent is a member of a consolidated administrative services department which supports the probation and pretrial services office, the district court clerk’s office, and chambers located in six divisions throughout the district (Abingdon, Charlottesville, Danville, Harrisonburg, Lynchburg, and Roanoke). The position may be located in Roanoke or at a divisional office, depending on the candidate selected and the closest available office space. Travel, including overnight, within and outside the district is required.
REPRESENTATIVE DUTIES
- Monitors, coordinates, and reacts to day-to-day facilities management issues, which may involve structures, building systems, technology, grounds, security, and space planning.
- Monitors courthouse heating, ventilation, and air conditioning (HVAC) operations, ensuring proper temperature and humidity levels are maintained in accordance with the U.S. Courts Design Guide, General Services Administration (GSA), and any other applicable guidelines.
- Addresses items that affect the operations of court facilities, including life-safety items, regular maintenance, air movement, and testing of building systems.
- Manages asset inventory, using both manual and automated inventory tracking tools. Identifies and disposes of excess property, following applicable guidelines and policies.
- Monitors space and facilities project work. Assesses, documents, prioritizes, and responds to project problems. Attends or participates in project or construction meetings as a representative of or advisor to the management team.
- Coordinates space and facilities project budgets and schedules. Works with GSA and/or project architects to ensure project completion. Plans and coordinates finishes for facility spaces. Works with independent project consultants.
- Serves as a liaison with Administrative Office (AO) Space and Facilities Division, the circuit executive’s office, various court agencies, GSA, or other collateral agencies. Works with court units to maximize workplace efficiency.
- Maintains files related to specific building projects and general facilities management, space planning, and building maintenance.
- Performs other duties as assigned.
QUALIFICATIONS
At least one (1) year of specialized experience is required. Specialized experience is progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry or report generation.
Clerical/administrative experience in the legal field or prior federal judiciary experience are preferred. The ideal candidate is a self-directed, highly organized professional who is mature, responsible, and tactful; demonstrates initiative and the ability to exercise good judgment; is able to work harmoniously with a variety of staff at all levels of the organization; possesses excellent communication skills; understands the importance of confidentiality; and maintains a professional demeanor and appearance at all times.
