Menlo School is seeking an energetic and dedicated individual to join our Admissions Office as the Admissions Assistant. This role is pivotal in the school's success through the admissions office as a key ambassador for Menlo's mission, values, and brand. This position serves four critical functions in the office: 

1) assisting the Director of Admissions and Financial Aid;

2) leading as the first point of contact and ongoing support in the Menlo School Admissions process for prospective students and parents/guardians; 

3) managing critical operational functions of the office, including document and process management for admissions and enrollment;  

4)  and leading logistics for testing and admissions events. 

This position works closely with other members of the school community and the wider public and holds opportunities for professional growth and increased responsibility over time. 

Key Responsibilities:

Assistant to the Director of Admissions & Financial Aid

Primary areas of responsibility include but are not limited to:

  • managing the calendar of the Director and office while coordinating with internal and external stakeholders;
  • filtering, prioritizing, and responding to incoming requests and emails on behalf of the Director as needed;
  • booking meeting rooms, coordinating AV equipment, preparing materials, agendas, reports, and relevant documents in advance of meetings for the  Director as needed;

Prospective and Current Family Support

Primary areas of responsibility include but are not limited to:

  • providing high-touch and exceptional client support for prospective families;
  • greeting and assisting prospective students and families during visits to the school, providing information and assistance to create a welcoming environment and positive experience;
  • triaging, responding to, and delegating telephone and email inquiries from prospective students, parents/guardians, feeder school personnel, and consultants in a timely and professional manner;
  • managing the admissions database; updating, organizing, and maintaining admissions records; ensuring the accuracy and completeness of information;
  • generating reports from the admissions database as needed to support the decision-making processes;
  • coordinating with the Menlo School Receptionist to add admissions events to the school’s master calendar;
  • preparing paper mailings and pushing bulk emails to prospective students and parents/guardians;
  • coordinating admitted student mailing and bulk emails to prospective students and families;
  • and supporting parents/guardians who primarily communicate personally or professionally in a language other than English by:
    • coordinating translation of admissions material including, but not limited to, Kira questionnaires for families 
    • interpreting or coordinating interpretation for key admissions webinars and in-person events

Admissions Office Operations and Administrative Support 

Primary areas of responsibility include but are not limited to:

  • providing campus tours to families
  • conducting interviews with prospective students
  • facilitating and proctoring on-campus testing, including Star Assessments and writing samples
  • building application components through the Kira and Ravenna platforms
  • leading data cleaning, file tagging, and forms processing efforts
  • producing spreadsheets for application management, evaluation, and yield projections  for both divisions
  • working with families and respective sending schools to move applications to completion;
  • facilitating families' completion of tailored application components, including materials in Spanish and Mandarin, and those with accommodations related to learning differences or physical limitations
  • managing testing data by uploading scores to Ravenna and working with peer schools and families to share score reports by request
  • facilitating access to translated applicant materials for the Admissions Committee
  • coordinating logistics for collateral materials in partnership with the Director of Admissions, Director of Communications, and Communications team;
  • ordering, maintaining, and preparing admissions materials and supplies for events, fairs, meetings, and all technology, and general office and kitchen supplies;
  • and coordinating, preparing, and pushing out electronic re-enrollment materials.

Event Logistics

  • assisting in and contributing to the design of key admissions events
  • facilitating logistical details for events, including facilities and tech requests, set-up management, vendors, deliveries, and other required tasks 
  • managing Star Assessment test events by rostering applicants, creating virtual class groups, and preparing supplies and documents,

Other

Primary areas of responsibility include, but are not limited to:

  • engaging with students in the admissions ambassador programs in both divisions and through the Student Life Office on occasion
  • pursuing professional development in the core competencies of the role;
  • supporting the onboarding process for admits to the Upper School and Middle School;
  • stepping in to cover the school’s reception desk as able and according to a schedule to be set in coordination with Communications;
  • and other duties as assigned by the Director of Admissions & Financial Aid or the Head of School.

Required Qualifications:

The successful candidate will possess…

  • minimum a HS diploma or equivalent, college degree preferred
  • at minimum two years of paid professional experience;
  • excellent communication skills, including in written and spoken English;
  • general proficiency in Google Workspace;
  • proficiency in Excel and/or Google Sheets, including the ability to produce graphs and tables, use spreadsheets efficiently, and perform calculations and automation to process large volumes of data;
  • proficiency in database management; 
  • proficiency in quantitative and qualitative data collection, management, and analysis;
  • the ability to complete all physical requirements of the job with reasonable accommodations.

Desired Qualifications:

The ideal candidate will possess…

  • proficiency in Google and Microsoft Suite, Zoom, Asana, Notion, and Ravenna or other CMS as well as a willingness and ability to learn other applications and new software as necessary;
  • and fluency in a language other than English, ideally Spanish or Mandarin.

Working Conditions & Physical Requirements:

This position…

  • will require extended periods of stationary positioning, ambulating (indoors and outdoors), working on a computer, and telephone usage; as well as occasional movement of objects weighing  up to 40lbs.;
  • and requires occasional evening and weekend hours as well as local, intrastate, or national travel for approved professional development and meetings of regional professional organizations.

Pay range:

In the spirit of pay transparency we share the base salary range for this position for the 2025-2026 academic year. The full pay range, which encompasses all experience levels is $75,000 - $100,000 for a full time position. Within this broad range, we pay in accordance with what could be reasonably expected based on an individual's experience level. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
