Sr. Administrative Associate - Translational Medicine

Vertex Pharmaceuticals Incorporated is seeking a Senior Administrative Assistant to support the Vice President and Head of Translational Medicine and his senior team.

The Senior Administrative Assistant ensures the effective and efficient maintenance of departmental processes, procedures and programs inclusive of travel arrangements, complex calendar management, scheduling, vendor meetings and expenses as well as ensures accurate filing and tracking of all departmental documentation, including memos, correspondence, presentations and reports. The Senior Administrative Assistant greets, receives and interacts with external partners as well as handles details of a confidential and critical nature. In order to be successful at this position the candidate will need to exercise independent judgment to optimize internal processes and procedures, and independently anticipate potential problems as well as solve these when they arise. There will be a need to be flexibility in a fast-paced environment, and the ability to accommodate other duties as assigned. This position will report directly to the Vice President and Head of Translational Medicine.

Key Responsibilities

  • Provide logistical planning and administrative support for the Vice President and his senior team (e.g. travel, expenses, scheduling, catering, vendor coordination, document production)
  • Assist in the management of the budgeting and contracting processes
  • Work across departments and with other administrative associates to facilitate interview schedules, large team meetings, and outside vendor meetings
  • Independently interpret and apply policies and procedures, and solve non-routine, complex issues.
  • Document and maintain group processes, procedures and programs relating to contracts and employee on-boarding
  • Clearly present project status and outline processes in oral and written formats
  • Participate in ad hoc projects as needed
  • Other duties as assigned

Minimum Qualifications

  • Bachelor's degree or equivalent
  • 5+ years of relevant experience


Preferred Qualifications:

  • Experience with Outlook Calendar Management and Concur Expense reporting systems
  • Demonstrates excellent communication, verbal and written, and interpersonal skills.
  • Able to work in a fast-paced environment and multi-task
  • Team player able to develop rapport and credibility with team members
  • Detail orientated with ability to identify and communicate conflicts in scheduling/priorities
