JOB SUMMARY: Assisting the Options Manager on performing day-to-day purchasing tasks, including the following: options and flooring processes; Coordination of option set-up, costs and contracting; Studio and CPA support; rebate maintenance and reporting related to options, subcontractor payment. Interact with appropriate internal and external personnel to respond to or resolve issues relating to purchasing policies and/or procedures.

  • Manage time to most effectively meet the department's goals each day. Meet deadlines with complete and accurate information. Minimizing the effect of unexpected interruptions on long term and daily tasks.
  • New Communities:
    • Set-up/prepare new communities to bid (Options and Flooring documents). Review plans to determine which options need to be setup for online bidding, and download information into spreadsheets for new vendors to bid.
    • Research and respond to questions from bidders regarding options and flooring via email and/or phone calls.
    • Gather flooring bids and create bid spreadsheets in Excel and submit to Purchasing Manager for Award Review Meeting.
    • Coordinate with the CPA to execute options, appliance and flooring contracts into the AS/400. Audit and review all contracts for accuracy.
  • Maintaining active communities:
    • Respond to calls/emails from production regarding all options and flooring questions, etc.
    • Respond to calls/emails from subcontractors regarding flooring and options, etc.
    • Prepare contract change requests for review and approval by Purchasing Manager and VP of Finance.
    • Maintenance of Options Master Continuums.
  • Daily Tasks:
    • Liaison between Studio and Purchasing on as needed basis.
    • Meet with potential vendors on new options and product knowledge training.
    • Work with Purchasing Manager/ Studio Manager to standardized option offerings and pricing
  • Work with Internal Employees and External Subcontractors:
    • Internal:
      • Purchasing Manager (daily) - communicate work progress and any outstanding issues with new and active communities.
      • Centralized Purchasing Administration (daily) - provide support for all issues relating to option subcontractor's contracts.
      • Production Department (daily) - provide support for any concerns regarding options contracts.
    • External:
      • Subcontractors (daily) - provide support regarding questions or concerns with contracts and options.
  • Other special assignments as may be needed
  • High School Diploma or GED required. Accounting or Business Management degree is helpful but not necessary
  • Minimum 1 to 2 Years Residential Purchasing Department Experience Required
  • Residential Purchasing Department Option Experience Preferred
Knowledge, Skills & Abilities:
  • Attention to accuracy and detail must be second nature
  • Exceptional organizational capability and detail oriented with strong ability to multi-task
  • Self-motivated and able to work in a collectively responsible team environment.
  • Ability to stay organized and manages priorities in an efficient manner.
  • Possess strong negotiation skills and experience
  • Proficient in using MS Word, MS Excel, MS Outlook, AS/400 experience preferred.
  • Exceptional communication skills necessary, both written and verbal; good follow-up and follow-thru skills.
  • Good people and problem solving skills required
  • Strong ability to conduct business in a professional and ethical manner to trade partners and coworkers to reinforce goodwill and profitability of the company
Work Requirements:
  • Work 8-hour days with flexibility for overtime when necessary
