Job Description

 Our company is searching for an experienced, reliable and task-oriented Paralegal/Executive Assistant. This individual will support Corporate Counsel and senior management executives and will be responsible for performing a number of administrative duties with a focus on legal and real estate including standard paralegal functions. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced and dynamic corporate environment. The successful candidate will possess the ability to complete a high volume of tasks and projects quickly with little guidance; react with appropriate urgency; take effective action without having to know the total picture; and solve problems that affect people within the group or other related groups. The candidate will also be internal client-service oriented, have great attention to detail while still meeting tight deadlines, have great organization skills, and the ability to easily switch gears. A high level of professionalism, integrity, and discretion in handling confidential information is also important.

 

Responsibilities:

·         Prepare and maintain corporate documents, binders, and spreadsheets

·         Maintain an organized filing system of paper and electronic documents

·         Assist Senior Paralegal with preparation of documents and  letters from appropriate templates

·         Assist Senior Paralegal with gathering, organizing, and producing discovery materials

·         Support VP of Real Estate with lease reviews and updates, data input and updates to Lease Query, tracking deadlines, draft  lease agreements, amendments, and related correspondence from appropriate templates, support teams at all stores with answers related to lease terms, use internet resources to conduct property related research, liaison between VP of Real Estate and tenants/landlords/contractors

·         Complete administrative duties such as making copies, answering and directing phone calls and greeting visitors

·         Coordinate executive communications, including taking calls, responding to emails and interfacing with visitors and team members

·         Schedule meetings and appointments, manage travel itineraries, and monitor calendars

·         Manage legal and corporate documentation and correspondence in strict confidence

·         Uphold a strict level of confidentiality

·         Implement and improve upon administrative processes for more efficient workflow

·         Other job duties as assigned

·         Proficient with Outlook, Word, and Excel.

·         Knowledge of Lease Query helpful
