SENIOR PAYROLL SPECIALIST
General Summary:
The Senior Payroll Specialist position reports directly to the Payroll Manager. The position processes payroll bi-weekly, performs duties necessary for the accurate calculation of wages, maintenance of records and distribution of payroll reports and withheld monies. Reviews payroll transactions and reports as needed, and performs other duties as assigned.
Essential Duties and Responsibilities
Within a team environment, this position will perform the following responsibilities:
* Perform payroll functions necessary to complete employee paychecks in a timely manner including all Payroll employees' profile updates, inputting adjustments, reconciling paycheck information, direct deposits, mailing of employee paystubs/paychecks, and verification of required governmental reports and filings.
* Prepare journal entries for payroll expenses, withholding taxes, and garnishment payments and reclassifications as needed.
* Work efficiently with ADP to resolve any issues in a timely manner, ensuring proper and accurate payroll processing.
* Will manage withholding tax registrations for state, SUI, and local tax registrations in coordination with ADP, if applicable.
* Coordinate with HR on all FMLA, Short term disability leaves, and employee missed benefit payments monitoring, follow-ups and ensuring employees ware paid correctly prior to and back from FMLA leaves.
* Coordinate with HR on annual benefit enrolment processes (review new benefit deductions)
* Will process all the HR requested employment verification requests, HR report requirements like Passport, OSHA, CA annual reporting requirement, MA Health information requests, etc.
* Assist the Payroll Manager in coordination with the sites FMs to explain or update information regarding payroll policies and procedures, state and federal regulations and laws and/or departmental reports requests.
* Prepare off cycle payroll checks as required for any employee terminations/final checks, or additional payouts. Ensure payroll transactions are posted to the general ledger accordingly.
* Function as a subject matter expert and/or resource and is the main point of contact for sites' staff to contact regarding payroll processing and ADP payroll related inquiries. Respond to employee's inquiries regarding pay checks and benefits (PTO, 401k, and others).
* Processes payroll summaries, bi-weekly payroll journal entries including month end accruals.
* Prepares all Payroll and Benefit GL accounts reconciliation reports- Sofie Co and N-Molecular.
* Prepares all the PBC's for annual financial audits including 401k and workers' compensation provider's audits, responds to audit inquiries, as applicable.
* Initiate payroll processing quality assurance reviews. Prepare, review, and analyze bi-weekly payroll processing and supporting documentation for internal audit. Identify training issues and/or problem prone processes to ensure optimal efficiency and error-free operations.
Non-Essential Duties and Responsibilities
These duties include tasks that may be applicable, but comprise less than 5% of the daily functions for this job:
* Analyze and respond to complex matters requiring comprehensive knowledge of payroll policies and procedures.
* Advise, interpret, answer questions, and provide directions to management and staff on agency rules and procedures, Federal, State, and local laws and regulations involving payroll.
* Document, update, and implement new payroll procedures as needed.
* Complete other related duties as assigned.
Job Specifications Minimum Required
* Education/Experience: Bachelor's degree in accounting or business-related field, plus 3-4 years of payroll work experience OR if no degree, minimum of 4-5 years of advanced level payroll work experience.
* Professional/Technical Certifications - CPP or FPC is preferred but not required.
* Technical Requirements: Strong computer skills, including advanced knowledge of Excel and Word; proficient in all other Microsoft Office applications (Outlook, etc.). Experience with payroll systems specifically ADP Workforce Now and computerized accounting systems like SAP is required.
* Behavioral: Strong and effective written and verbal communication and people skills. Able to interface with others in an effective, open, and tactful manner. Demonstrated ability to establish and maintain effective, cooperative working relationships with colleagues, supervisors, and co-workers. Strong analytical and critical thinking skills. Attention to details and strong organizational skills are essential. Demonstrates ability to work under pressure on multiple projects with competing deadlines and to prioritize work effectively and apply a sense of urgency to projects. Must be initiative-taking, able to exercise discretion and good judgment, work independently, take initiative, participate as an effective team member, and follow tasks through to completion. Adherence to confidentiality of payroll information and data is necessary.
* Work Schedule: Full time, on hybrid, work at home (Monday, Thursday, and Friday), regular business hours at the office on Tuesday and Wednesday.
