LifeSource is hiring a Quality Process Coordinator to perform donor record entry into the organization’s donor verification software, and department training and support on software functionality. This includes coordinating customer and partner inquiries and requests, final donor information and reports, filing and attachment of applicable records to the organization’s electronic management system (EMR), and required reporting to external agencies. The ideal candidate will be an organized, resourceful, adaptable admin who takes initiative and has medical terminology knowledge, experience navigating and entering data/records into an EMR, and a great attention to detail.
As a Quality Process Coordinator, you’ll advance our life-saving work by performing the following job duties:
Donor Record Verification Support
- Provides timely execution of donor record entry into the organization’s donor record verification software and assigns donor records to the appropriate Quality Assurance Coordinator (QAC).
- Coordinates the receipt and dissemination of customer, partner, or stakeholder inquiries and directs to the appropriate QAC, or takes appropriate action and follow up.
- Coordinates the retrieval of final donor medical reports and information from applicable donor hospital and other partners (e.g., cultures, serologies, etc.).
- Coordinates the determination of donor autopsy and toxicology status, routine follow up on final autopsy status, final autopsy distribution to stakeholders, and final autopsy attachment to donor record in the organization’s EMR.
- Coordinates the appropriate, and timely, compilation of final donor record packets for distribution to applicable customers and partners and attaches final records to the respective donor record in the organization’s EMR.
- Provides training and guidance to existing and new department team members on the donor record verification software process and software functionality.
Prioritization of Daily Activities
- Prioritizes daily activities to provide balanced support of department and cross-functional collaboration and ongoing knowledge development of defined responsibilities, including:
- Collaboration and support of department and cross-functional team members on special projects, as needed.
- Audit facilitation support, as appropriate, which may include internal, customer, supplier, accreditation, and regulatory audit support.
- Ongoing development and understanding, as appropriate, of relevant standards, policies and regulations related to the America Association of Tissue Banks (AATB), Centers for Medicare & Medicaid Services (CMS), Eye Bank Association of America (EBAA), Food and Drug Administration (FDA), and Organ Procurement Transplant Network (OPTN).
WORKING CONDITIONS/SCHEDULE:
- 1.0 FTE, 40 hours per week. Primary hours: Monday-Friday between the business hours of 0800-1700.
- This role is on-site hybrid in Minneapolis, MN. Local candidates will receive top preference for consideration.
QUALIFICATIONS
- Requires education and experience equivalent to 5 years of healthcare, quality assurance, or medical record responsibilities.
- Prefer previous experience working with a Quality Management System software (QMS) program.
- Experience with (EMR) electronic medical records is preferred.
- Demonstrated ability to provide a high level of customer service to internal and external customers with the ability to develop and connect with people quickly.
- Proven self-directed, motivated contributor with a strong initiative and ability to function autonomously, establish priorities, meet timelines and deadlines, and work effectively within a team environment.
- Ability to build, maintain, motivate, influence, and achieve cooperation with both internal and external relationships.
- Must be organized, detail oriented, and have excellent critical thinking and analytical skills.
- Strong verbal and written communication skills, including ability to identify opportunities for process improvement by developing proposed solutions to identified areas of improvement.
- Strong working knowledge of Microsoft Office applications.
- Demonstrated ability to exhibit a high degree of quality, integrity, and honor confidentiality of appropriate information including, but not limited to, personal team member data, organizational operations or work processes, donor and donor family information, contributor details, any financial information and medical or protected health information (PHI) in accordance with HIPAA.
- Proven skilled and competent in using technology-based devices and mobile tools such as personal computers and related software, electronic medical record systems, mobile phones, and mobile printing devices.
Projected offer rate range: $21-24/hour, based on relevant experience.
