The Project Manager, Campaigns and Operations plays a vital role in advancing the BSW Dallas Foundation's fundraising efforts by providing operational support necessary for campaign and donor engagement initiatives to succeed. This role requires an understanding of the impact of fundraising within the organization and how effective project management, donor recognition and operational processes contribute to overall philanthropic success.
Reporting to the Director, Campaigns and Strategic Initiatives, this role oversees key day-to-day operational functions, including project management and system tools, donor acknowledgments, recognition and campaign support. Strong project management skills, clear communication and adaptability are essential to ensuring seamless execution and measurable outcomes. The Project Manager will frequently collaborate with Foundation leadership and team members at all levels, requiring a high degree of ownership, collaboration and accountability
ESSENTIAL FUNCTIONS OF THE ROLE
Campaigns and strategic fundraising support:
- Provide day-to-day support for campaign execution, ensuring alignment with the Foundation's strategic goals.
- Support the Director, Campaign and Strategic Initiatives and gift officers by drafting campaign materials, funding proposals, presentations and briefing materials while also managing campaign processes, setting milestones, tracking progress and ensuring deadlines are met to effectively drive engagement.
- Develop and manage internal processes to track all capital campaign activity, ensuring smooth coordination across teams.
- Track donor contributions and pledges, providing regular updates and reports to leadership and key stakeholders while proactively collaborating to drive campaign results through ongoing activity and follow-up.
- Support planning and execution of campaign donor engagement events as assigned.
- Partner with research and analytics to analyze fundraising data and campaign progress, identifying trends, measuring success and refine strategies with Director, Campaigns and Strategic Initiatives to drive stronger outcomes.
- Manage the day-to-day campaign budget, track costs, and ensure accurate processing of invoices in collaboration with the Foundation finance team.
Donor recognition and gift acknowledgement:
- Implement and manage the Foundation's Donor Recognition procedure, ensuring donors are acknowledged in accordance with their level of giving
- Serve as the primary project manager for all donor recognition efforts (plaques, naming opportunities, etc.) ensuring accurate creation, approval, fabricated and installation.
- Manage and implement the Foundation's gift acknowledgment process to ensure timely and meaningful donor stewardship.
- Collaborate with stewardship team to align donor recognition and acknowledgement effort with the broader BSW Dallas Foundation stewardship plan.
- Manage assigned organizational operational needs with supervision from the Director of Campaigns and Strategic Initiatives.
- Facilitate daily maintenance, updates and compliance for Foundations-wide tools Monday.com and SharePoint while serving as a resources for team members seeking support.
- As assigned, ensure timely updates of donor records in Raiser's Edge in accordance with Foundation standards.
- Effectively manage assigned initiatives by utilizing established tools and systems to track progress, maintain organization, ensure processes are followed consistently and and properly document and store work for accessibility and continuity.
- Ensure all relevant team members are kept informed of progress, deadlines and any changes to the project strategy or schedule.
KEY SUCCESS FACTORS
- A Bachelor's degree in Business Administration, Communications, Journalism, Marketing, Non-profit Studies or other related disciplines from an accredited college or university or 4+ years experience.
- Must possess excellent written and verbal communications skills.
- Excellent project management skills, including proficiency in using Monday.com (or similar) for tracking and team collaboration.
- Proven ability to implement new initiatives, measure and discern progress and adjust to maximize results.
- Comfortable working within a demanding and complex corporate environment with access to highly confidential and proprietary information.
- Strong work ethic and willingness to take ownership for wide-ranging responsibilities.

- Experience working with donor database, Raiser's Edge a plus
- Experience working in Microsoft Office 365 Suite including Microsoft Word, Excel, PowerPoint and SharePoint; experience working with Adobe Creative Suite and Monday.com a plus.
