Chesapeake Animal Services is seeking an experienced and motivated Customer Service Clerk III to join our team. This is an exciting internal opportunity to take on a leadership role where your knowledge, initiative, and compassion will directly support our mission of improving the lives of animals and citizens alike.As a Customer Service Clerk III, you'll play a vital role in coordinating medical care, maintaining accurate records, mentoring team members, and serving as a liaison between departments and community partners. Your work will help ensure the smooth operation of the shelter and foster a supportive environment for staff, citizens, and animals in need.
Key Responsibilities:

  • Oversee the maintenance and accuracy of all animal medical records.
  • Schedule routine vaccinations, veterinary appointments, and surgeries for shelter and foster animals.
  • Coordinate weekly medical rounds by providing the veterinary team with lists of animals requiring care; review and approve diagnostics within budget and under the direction of the Animal Shelter Manager.
  • Serve as the primary liaison between veterinarians, partner clinics, Animal Care Supervisor, and Shelter Manager regarding animal health.
  • Prepare and distribute medication sheets and ensure staff are informed of veterinary instructions.
  • Manage animal exposure and quarantine documentation; coordinate with the Chesapeake Health Department as necessary.
  • Maintain inventory and manage ordering of all medical and office supplies.
  • Submit work orders, purchase requests, and vendor payments; assist with contractor communications and procurement processes.
  • Support the Shelter Manager in budget preparation by making recommendations and tracking expenditures.
  • Provide onboarding, training, and ongoing support for Customer Service Clerks; serve as the lead clerk and point of contact for procedural guidance.
  • Generate daily, monthly, and annual reports for management and regulatory compliance.
  • Maintain all records in accordance with city, state, and federal laws and policies.
  • Deliver outstanding customer service to citizens in person, over the phone, and through email.
  • Perform additional duties as assigned.

What We're Looking For:

  • Proven ability to work independently with strong decision-making and problem-solving skills.
  • Excellent attention to detail, multitasking abilities, and organizational skills.
  • Familiarity with the animal services field, including experience working with veterinary teams and animal care systems.
  • Strong communication and leadership skills to guide and support other clerical team members.
  • Proficiency with spreadsheets, reporting tools, and office software.
  • Knowledge of purchasing, invoicing, vendor communication, and basic accounting.
