Position Summary:

LEO Events is seeking a detail-oriented, organized, and proactive Associate Project Manager to join our team. The ideal candidate will have a strong background in managing corporate meetings and events, with expertise in logistics, client communication, and vendor coordination. This role provides an opportunity to contribute to all stages throughout the event lifecycle-ensuring seamless, high-quality event execution while supporting both clients and internal teams

This role will report directly to the Project Manager and will work closely with the cross-functional teams to ensure events meet client objectives, maintain profitability, and are delivered on schedule. This includes being responsible for managing key event logistics, client communication, vendor coordination, and post-event activities.


Job Responsibilities include but are not limited to:

Project Management

  • Support the planning, execution, and delivery of corporate meetings and events, ensuring all timelines, budgets, and client objectives are met.
  • Coordinate with internal teams, clients, and external vendors to ensure seamless and flawless execution of event logistics.
  • Track and report on project deliverables, highlighting potential issues and mitigating risks.
  • Support the creation of event materials, including agendas, planning documents and timelines.
  • Serve as an operational point of contact for clients, responding to inquiries and providing updates on event status in collaboration with the larger team.
  • Maintain regular communication with both internal and external stakeholders, providing updates on event progress.
  • Build and maintain strong relationships with clients, vendors, and internal teams to ensure high levels of communication and collaboration throughout each project.
  • Coordinate and consolidate client budget communications, working with producers and planners to monitor and organize budget segments to master client budget.

Event Execution & Logistics

  • Provide on-site support during event setup, execution, and breakdown, ensuring all departments communicate effectively and logistics run smoothly
  • Work closely with operations managers and producers to ensure the timely delivery of all materials and services.
  • Help manage vendor relationships, coordinating with producers and planners to secure services and supplies.
  • Troubleshoot and resolve any on-site issues promptly to ensure a seamless experience for all.

Post-Event Activities

  • Assist in post-event activities such as gathering internal team and client feedback and tracking event expenses.
  • Support with the analysis of event debriefs, identifying areas for improvement.
  • Help prepare and compile event reports for internal and client review.

Qualifications:

  • 4-6 years of experience in event planning, project management, or a related field, with a demonstrated ability to manage logistics and coordinate corporate meetings and events.
  • Exceptional written and verbal communication skills.
  • Experience with vendor management, contract negotiation, and timeline tracking.
  • Proficiency in event management software, project management tools, Microsoft Office Suite, and Google Workspace.
  • Willing to travel as needed to support events (approximately 20% of the time).

  • Proactive, solution-oriented approach to event planning and issue resolution.
  • Ability to work both independently and collaboratively in a team setting.

Environmental Conditions and Physical Demands:

Employee required to spend a portion of time remaining in a seated position looking at a computer screen. Employee required to do some standing and walking. Employee will be in a well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
