DLR Group's Administrative team has an opening for an Administrative Assistant (Office Support). As a key staff member who interfaces directly with and supports the office staff, this position is expected to be in the office five days a week.

Location: Washington, DC

Position Summary

As an Administrative Assistant (Office Support) at DLR Group, you will be the first point of contact for our vendors and visitors. You will be responsible for providing a welcoming environment to all visitors, vendors, clients, and consultants. Additionally, you will be tasked with meeting coordination, presentation set-up and breakdown, and overall office organization.

The successful candidate will:

  • Greet all visitors and vendors and provide guidance on the office space.
  • Answer all incoming calls and route to the correct location.
  • Assist with onboarding new employees.
  • Manage coordination with vendors.
  • Make travel reservations, manage office calendars, and distribute mail.
  • Distribute relevant information to staff regarding local activities and events.
  • Maintain overall office organization and cleanliness.
  • Order and maintain office supplies.
  • Coordinate conference rooms, events, and meetings and assist with ordering food.
  • Maintain confidential information as it relates to projects.
  • Assist project managers with other aspects of the team and project management as needed.
  • Perform basic accounting tasks such as receiving/entering vendor invoices in accounting software and following up on payment status.
  • Other misc. duties that may require assistance within the office.

Required Qualifications:

  • 3 or more years of experience in a customer-facing service role.
  • Proficient with Microsoft Office Suite, including scheduling meetings in Outlook
  • Excellent communication skills, both verbal and written.
  • Proactive, independent thinker possessing a high attention to detail and ability to prioritize.
  • Working knowledge of business procedures and office equipment.

Preferred Qualifications:

  • Experience in architecture, engineering, or construction (A/E/C) industry.
  • Experience and knowledge using Deltek Vantagepoint
