Position Overview
The Engineering Coordinator plays a vital role in supporting the Engineering Division’s daily operations. Reporting directly to the Chief Engineer and Director of Engineering, this position is responsible for ensuring seamless administrative processes and providing essential coordination for the department. Responsibilities include procurement, vendor management, record-keeping, work order tracking, departmental communications, and coordination of property management item replacements.

Responsibilities

  • Serve as the primary administrative support for the Engineering Department.
  • Manage and track purchase orders, invoices, and expense documentation using Birchstreet and other systems.
  • Coordinate supply ordering and inventory control of maintenance and facilities-related materials.
  • Facilitate property management item replacements (e.g., furniture, fixtures, and equipment) in coordination with housekeeping, front office, and ownership groups.
  • Facilitate and communicate property management Owner Portal updates, including FF&E, item replacement, and other related information.
  • Support work order management processes through CMMS platforms such as HotSOS or related systems.
  • Maintain departmental records, safety documentation, and compliance logs.
  • Schedule and coordinate internal team meetings, training sessions, and project updates.
  • Assist with onboarding documentation and communication for new Engineering colleagues.
  • Respond to internal and external inquiries with a high level of professionalism and confidentiality.
  • Facilitate communication between Engineering, Housekeeping, Front Office, vendors, and other departments.
  • Monitor project timelines and alert leadership to pending deadlines or delays.
  • Provide administrative support during property inspections, capital improvement projects, and emergencies.

Qualifications

  • Previous administrative or coordinator experience in hospitality, engineering, facilities, or property management preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint); experience with Birchstreet and HotSOS or equivalent CMMS strongly preferred.
  • Strong organizational and time management skills with attention to detail.
  • Ability to handle sensitive information with discretion.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple tasks in a dynamic, fast-paced environment.
  • Service-oriented mindset with a collaborative team spirit and a positive, can-do attitude.

Qualifications

    • Candidates with previous experience in a similar role are preferred.
    • Refined oral and written communication skills with the ability to communicate effectively with colleagues, participants, and facility business partners.
    • Computer literate and fully conversant with Microsoft Office software, including Word, Excel, and PowerPoint. Previous experience with Birchstreet preferred.
    • The ideal candidate of this position will possess the ability to adapt to various situations as they arise, display empathy in all interactions with colleagues, participants, and facility business partners.

    Physical Requirements

      • Ability to sit, stand, walk, bend, and reach for extended periods as required in a typical office and resort operations environment.
      • Must be able to lift, push, pull, and carry up to 30 lbs occasionally (e.g., supply boxes, small equipment, facility inventory items)
      • .Ability to navigate resort property, including climbing stairs and walking across uneven terrain when accessing maintenance areas.
      • Manual dexterity to operate standard office equipment, including a computer, copier, and phone.
      • Must be able to hear and speak clearly in person and via phone/radio for effective communication with team members and vendors.
